What is n8n, is it free and when is it worth it for a business?

n8n is a tool that connects your apps and automates repetitive work: sending leads to a CRM, notifications, reports or order handling. We explain in plain language how it works, what it costs and where to start.

What is n8n?

n8n (pronounced “n-eight-n”) is a workflow automation platform. It connects the apps your business uses — website, forms, CRM, e-mail, Google Sheets, Telegram, payment systems — and lets you define what should happen automatically when a specific event occurs.

Automations are built visually from “nodes”. Each node is a step: get data from a form, check a condition, save a contact in the CRM, send a message to the team. Simple workflows can be built without programming, and more complex ones can include a piece of code.

n8n has hundreds of ready-made integrations and can talk to systems without a native connector via APIs and webhooks. It is increasingly used to build AI agents that reply to customers or process documents.

Is n8n free?

It depends on how you use it:

  • Self-hosted (Community edition) — free for internal use in your company. You install n8n on your own server (e.g. a VPS with Docker) and pay only for the server, usually a small monthly amount for a basic VPS. Your data stays on your infrastructure.
  • n8n Cloud — a hosted version run by the n8n team, paid as a subscription based on the number of workflow executions. You do not have to manage a server or updates. Check current prices on the official n8n website.

Remember the extra costs: if an automation uses AI models (e.g. GPT or Claude), paid APIs or external services, their costs are separate from the n8n licence.

“Free” also does not mean “no work”: a server has to be set up, secured, updated and monitored. For a company without an IT team, that is a real argument for n8n Cloud or for implementation with a partner.

n8n automation examples for businesses

The best first automations are repetitive, time-consuming processes that are prone to mistakes. Some typical examples:

  • Website leads to CRM. A form on the website creates a contact and a task in the CRM, assigns a salesperson and sends a notification to Telegram or e-mail.
  • Leads from ads. Submissions from Meta Ads lead forms go straight to the CRM with the source and campaign name.
  • Follow-up. If a customer has not replied within 2 days, the system reminds the salesperson or sends a polite message.
  • Store orders. A new WooCommerce order goes to a spreadsheet, warehouse or accounting system.
  • Reports. Every Monday the team receives a summary: number of enquiries, sources and sales status.
  • AI in the process. An AI model summarises a customer message, classifies the request and routes it to the right person.

Zapier works well for a few simple automations with a small number of runs. Make is a convenient visual editor for moderately complex workflows. n8n wins when there are many automations, the processes are complex, the data is sensitive, or subscription costs in other tools start growing with the number of runs.

When is n8n worth it — and when is it not?

n8n makes sense when:

  • your team regularly copies data between systems,
  • enquiries “get lost” between the website, inbox and CRM,
  • you plan more than a few automations that will keep growing,
  • you care about control over data (e.g. customer data, GDPR).

It may be overkill when:

  • you need one simple integration that a ready-made plugin already offers,
  • the process changes every week and has not been described yet,
  • nobody in the company will be responsible for maintaining the automations.

How to start with n8n in your company

  1. Pick one process that takes the most time or causes errors — e.g. lead handling.
  2. Describe it step by step: where the data comes from, who does what, where the information should end up.
  3. Check integrations: do your systems have APIs or native nodes in n8n?
  4. Decide on hosting: Cloud or your own server.
  5. Build and test the workflow on real data, with error handling and a notification when something goes wrong.
  6. Measure the result (time saved, faster response) and only then automate the next processes.

Implementation with NEXALYQ: automation audit from 1,500 PLN, one complete n8n workflow from 3,500 PLN, a system of several connected automations with monitoring from 5,000 PLN. Licences, APIs and external services are paid separately. See our n8n automation offer.

Frequently asked questions

Is n8n completely free?

The self-hosted Community edition is free for internal use in your company — you only pay for the server. n8n Cloud is a paid subscription. AI, API and external service costs are separate.

Do I need to know how to code to use n8n?

Not for simple workflows — they are built visually. For complex processes, unusual APIs and error handling, technical experience helps.

Does n8n work with WordPress and CRM systems?

Yes. n8n can receive data from website forms and WooCommerce stores and send it to popular CRMs, Google Sheets, Telegram and other tools — through native integrations or APIs.

Is n8n safe for customer data?

When self-hosted, data stays on your server, which makes GDPR-compliant control easier. Security still depends on configuration: updates, access control, backups and encryption.

How long does it take to launch the first automation?

A simple workflow can be launched in a few days. A process with several systems, conditions and testing usually takes from one to several weeks.
