Business process automation with n8n and AI

We join forms, notifications, CRM and team tools into one manageable process. Less manual data transfer, faster enquiry handling, automatic tasks and transparent control of the next steps.

  1. 01All enquiries, forms and messages in one process
  2. 02Automatic tasks, notifications and follow-up
  3. 03Faster lead qualification with rules and AI
  4. 04Transparent history, statuses and control of owners

When it makes sense

The process works, but takes too much time

Automation makes sense when your team keeps repeating the same actions: moving data from forms, creating CRM contacts, sending similar messages, tracking deadlines or preparing reports by hand.

NEXALYQ does not start with a tool. First we describe the current process, find the bottleneck and choose a first scenario that can be safely launched, tested and measured.

Practical scenarios

What we can automate

  1. Enquiry handling

Forms, chat, the website and ad channels pass data into one process, and the responsible person gets notified at once.

  2. Lead qualification

The system gathers missing information, identifies the topic of the enquiry and routes the contact to the right process or manager.

  3. CRM and tasks

Contacts, deals, notes, statuses and next tasks are created automatically, without manual data transfer.

  4. Follow-up and reminders

Customers and your team receive messages at the right moment, and a lack of response triggers an agreed next step.

  5. Documents and data

Automatic document creation, data organisation and information transfer between company systems.

  6. Reports for the owner

Up-to-date information on the number of enquiries, response times, contact statuses and the stages where the process stalls.

Process example

From first contact to a task in the CRM

  1. Source

Ad, website, form, chat or messenger.

  2. Verification

Data check and collection of missing information.

  3. Qualification

Defining the need, topic and priority of the enquiry.

  4. CRM

Creating the contact, deal, status and history.

  5. Action

Notifying the manager and assigning the next step.

Implementation process

Process first, technology second

  1. 01 · Audit

    We describe the current work

We identify data sources, owners, exceptions, manual steps and the places where time is lost.

  2. 02 · Plan

    We design the scenario

We agree the logic, integrations, access, security, error handling and how the result will be measured.

  3. 03 · Implementation

    We build and test

We launch the process in stages, check typical situations and prepare scenarios for exceptions.

  4. 04 · Growth

    We monitor and improve

After launch we analyse performance, errors and handling time and add further worthwhile automations.

Integrations

We connect the tools you already use

n8n can act as an integration layer between your website, CRM, email, messengers, spreadsheets, databases and AI models. We tailor the scope to the real process and the available APIs.

Automation can work with forms, WooCommerce, Telegram, Google Sheets, email, CRM, ad platforms and your team's internal tools.

  • n8n
  • WordPress
  • WooCommerce
  • CRM
  • Email
  • Telegram
  • Google Sheets
  • Webhook

Security and control

Automation should not be a black box

We design responsibly

  • We minimise the amount of data processed
  • We define access, roles and user responsibility
  • We plan event logging and error handling
  • We document the key parts of the process and integrations

A human makes the decision

  • AI helps with qualification but does not make the final decision
  • Sensitive steps may require confirmation
  • The team sees the history and can stop the process
  • We assess GDPR requirements for each specific implementation

Ways of working together

We start with a controlled scope

The cost depends on the number of systems, data quality, integrations, process exceptions, the role of AI and control requirements. Below are base packages consistent with the logic of NEXALYQ services.

01 · Start

Automation audit

Analysis of the current process, data sources, manual steps, risks and the first scenario to implement.

  • process description
  • systems and data map
  • risk assessment
  • first scenario plan
from 1,500 PLN
02 · Business

One process

Automation of one repetitive process with integrations, testing, notifications and launch.

  • one scenario
  • integrations via n8n
  • testing with data
  • team notifications
from 3,500 PLN
03 · AI + CRM System

AI + CRM system

A multichannel enquiry-handling process with AI qualification, CRM, automatic actions, history and reports.

  • several enquiry sources
  • AI qualification
  • CRM / tasks / statuses
  • logs, reports and control
from 5,000 PLN

The final price depends on the number of systems, API availability, data quality, number of scenarios, exceptions and monitoring requirements. Licences, APIs, hosting and ongoing support are billed separately.

FAQ

Frequently asked questions about automation

Where should a company start with automation?

With one process that regularly takes time, has a clear start and end and repeatable data. During the audit we assess feasibility, risks and the expected result.

Do we need to change our current CRM?

Not always. First we check the integration options of your current system and suggest a change only when its limitations get in the way of a stable implementation.

Does n8n replace employees?

n8n takes over repetitive data transfer and the triggering of agreed actions. Your team remains responsible for decisions, exceptions and communication that needs human judgement.

How long does implementation take?

A simple scenario can be ready in a few weeks. We roll out a complex system with many integrations in stages after analysis and testing.

Can the automation be expanded later?

Yes. We design it modularly so that after the first process is proven you can add new sources, rules, integrations and reports.

How do we measure the result of implementation?

Before launch we define a metric: handling time, number of manual steps, time to first reply, completeness of CRM data or the number of enquiries that pass through the process without manual transfer.
